How to use the calculator
- Enter the number of users and the price per user per month from the vendor’s quote.
- If the vendor charges a flat fee (a bundle or workspace plan), enter it too and set the per-user price to zero if appropriate.
- Add monthly add-ons such as an IDX website, texting or lead sources.
- Enter one-time setup fees, training hours and the value of an hour of your time.
- Choose the term and any annual-billing discount.
- Add deals closed per year to see the cost per closed deal.
How the calculation works
- Monthly subscription = (users × price per user) + flat fee + add-ons
- Discount applies to the subscription when you pay annually
- One-time cost = setup + (users × training hours × hourly value)
- Total over term = subscription × months + one-time cost
- Cost per closed deal = total ÷ (deals per year × years in term)

Compare the three-year totals, then add what you would have bought separately, such as a website.
Reading the result
If the cost per closed deal looks small, the CRM is cheap relative to the income it protects. If it is large, you may be over-buying features or have too few deals to justify a premium plan.
