Checklist

Real estate CRM features checklist: must-haves, nice-to-haves and red flags

Feature lists are long and most vendors tick every box. This checklist separates what you need from what looks good in a demo.

Key takeaways
  • Start with five must-haves: tasks, timeline, pipeline, import and mobile access.
  • Teams add routing, permissions and reporting.
  • Ask how each feature works with your data, not just whether it exists.

How to use this checklist

Print it, score each CRM from 0 to 2 (missing, partial, strong) and add the totals. Weight the must-haves double. Remember that a feature you will not use is not a benefit.

Must-haves for every agent

Feature What good looks like
Task list Overdue items first, due dates on every contact
Contact timeline Calls, notes and viewings on one page
Visual pipeline Drag-and-drop stages you can rename
Import Reads your real spreadsheet with different column names
Mobile access Usable on a phone browser or app
Export Complete export of contacts and notes

Must-haves for teams

Feature What good looks like
Lead assignment Assign and reassign in seconds
Role permissions Owners see all; agents see their own
Activity visibility Overdue tasks per agent
Source reporting Closed deals by source, not just leads
Audit trail Who changed what and when

See team management for how we handle these.

Nice-to-haves

  • Marketing automation and drips. Valuable at volume. See automation.
  • IDX website. Only if you do not have one. See IDX and MLS.
  • Texting and calling. Check consent rules. See mobile and texting.
  • Transaction management. Useful, but a separate tool often does it better. See transaction management.
  • Calendar sync. Reminders on your phone calendar.

Red flags

  1. No clear export. You may be locked in.
  2. Quote-only pricing with long contracts. Hard to compare and hard to leave.
  3. Features that need consultants. Setup cost hides in services.
  4. Vendor churn. Frequent rebrands or product shutdowns. See LionDesk.
  5. Everything is an add-on. The base price is a mirage.

Questions to ask in every demo

  • Show me importing my own messy spreadsheet.
  • Show me a lead being assigned and reassigned.
  • Show me what an agent sees versus an owner.
  • What is not included in this price?
  • What happens to my data if I cancel?

Feature status honesty

At RealEstateCRM.pk we label each feature as core, via integration or roadmap on our platform overview. Ask every vendor for the same candour.
